To avoid violating FERPA, you should be careful to NEVER:
- discuss the progress of a student with another staff member within the proximity of other staff who do not have a legitimate ‘need to know’ or within hearing distance of other students.
- at any time use the entire Social Security Number of a student in a public posting of grades
- link the name of a student with that student's Social Security Number in any public manner
- leave graded tests or papers in a place where students will retrieve them by sorting through the papers of other students thereby seeing others grades. As an alternative, you can attach cover sheets, fold and staple, or use assigned pseudonyms known only to you and the student, to avoid linking
a personal identifier with a grade
- circulate as an attendance roster a printed class list with student name and Social Security Number or grades
- discuss the progress of any student with anyone other than the student or other co-workers who have a
legitimate educational interest, without the consent of the student
- provide anyone with lists of students enrolled in your classes for any commercial purpose
- provide anyone with student schedules or assist anyone other than college employees in finding a student on campus
- Keep student records beyond their usefulness for grading or record keeping purpose
- Take student records off campus for disposal
