Student education records are considered confidential and may not be released without the written consent of the student.

As a faculty or staff member you have the responsibility to protect education records in your possession.

Some student information, referred to as "Directory Information," is exempt from FERPA confidentiality requirements. Unless a student files a specific request to withhold Directory Information, this information may be disclosed without the student's consent. The decision to release directory information is made by staff of Enrollment Services and Rogue Central. Students are entitled to prevent disclosure of Directory Information by filing a request form for nondisclosure. These forms are available at the Rogue Central Services for Students.

Directory Information at Rogue Community College includes: 

  • student's name
  • address
  • telephone number
  • e-mail address
  • major field of study
  • dates of enrollment
  • degrees received
  • participation in officially recognized activities and sports
  • most recent previous educational agency or institution attended
  • academic credit information
  • photo

As a faculty or staff member, you have access to student education records only for legitimate use in completion of your responsibilities as a college employee on a "need to know" basis.

Disposal of Student Educational Records

Information about individuals should be retained only so long as it is valid and useful. Those responsible for academic information have an obligation to destroy information when conditions under which it was collected no longer prevail. Any document containing personally identifiable information must be disposed of properly through some means of confidential disposal. Take any roster, grade book, scored homework or tests in your possession to a locked shredding bin on any Rogue Community College campus for disposal.  Under no circumstances should you take students’ personally identifiable information off campus for disposal.  If you need information on confidential disposal, you can call Enrollment Services at 541 956-7176.

If you are ever in doubt, do not release any information. Contact the Enrollment Services Office 956-7176 or Rogue Central on your campus, they will decide what is appropriate to release and do that for you.
